Microsoft Publisher File… On a Mac….

Many years ago, I created a bunch of documents in Microsoft publisher. It was a wonderful desktop publishing program, and it came with the full version of Microsoft office on the PC. Until now, I have kind of thought those documents were orphaned and would not be usable on my Mac. But in doing some research, I ran across the program that can open Microsoft publisher files and allow you to continue editing those files and make changes to them. 

LibreOffice, a free product that is sustained by the donations is the only software I’ve been able to find that allows Microsoft publisher documents to be opened. It does not allow you to receive those files as publisher documents, but you can save them in their LibreOffice file format.  I was pleasantly surprised of the fidelity of the transfer from publisher. It opens the publisher file directly, and let you make edits using the tools that are native to LibreOffice.  Fields that were originally created as text, are still editable text. Photos that were imported into publisher are still movable scalable photos. Lines drawn in publisher, across as lines and are editable just as they would be in publisher.

So if you’re looking for a way to move publisher documents from the PC to the Mac, LibreOffice is the one to choose. It is free to download and try and is available in intel and Apple Silicon versions.

Scanning without a Scanner on the Mac

Do you ever have a need to be able to get a quick scan of a document to import into a email or other document that you’re working with on your Mac? Apple provides a very easy way to get a scan without a scanner, that is if you have an iPhone. On the Mac, you have the ability to be able to import a picture directly from your phone. And the process is pretty easy. 

In most applications, or even just directly from the desktop, if you right click your mouse button to button mouse, or use two fingers to click on your trackpad, you’re presented with a menu of items that you can select from. One of those items is import from an iPhone or iPad.  

All you have to do to get this menu to come up is right click and then select the import function. When you do that, it drops out a list of all iOS devices but you may have connected to your account. In this case, I want to scan a document from my iPhone 12 Pro. Once I select scan documents under the iPhone 12 Pro, I’m presented with this dialogue on the computer.

When that box comes up, I now move over to my iPhone, and when I pick it up I noticed that it is in camera mode. It tells me to position the document so that it’s shown in its entirety, then press the button.  When I press the button, the camera goes off and I am given the opportunity to scan an additional page, review the scan, and then save it.  Once I hit the save button on the phone, the scan is delivered to the desktop on my Mac.  

The process even works with just takin a photo rather than just as a scan.   Photos are delivered in a jpg format and scans and delivered in pdf format.  

So even if you don’t have a scanner, the iPhone can fill in and quickly get you the document you need.

Is it Time to Replace my Mac?

That’s a question that I get probably 10 times a week. We all realize that has computers get older they slow down. I’m not sure it’s really a function of the computer slowing down or the software just getting bigger and more needy when it comes to performance.  Regardless, there comes a time when a machine feels slow, your disk space has gotten full, or there are other problems with your machine that make you wonder whether it’s time to replace your Mac. 

There are many factors that go into this decision. Some people just want to replace it to get the newest and fastest technology. But most people are trying to make a decision based upon whether the machine they have meets the needs that they have. So first off, let’s look at what some of the reasons that you might want to replace your computer are.

My computer is feeling slow

By far, this is the biggest reason that people start thinking about making a change. When we buy our computers, they run the current operating system the day, but every year, Apple puts out a new release of the operating system that adds new features of new functions. Many times these functions tied to functions that you might be using on your phone. So that makes you want to update your computer to the latest operating system each time it’s available. Well every time the operating system updates it typically gets a little bigger and uses a little more of the computers performance to make it really run well. After a period of time, you just run out of that surplus performance that that brand new machine you bought had.

Typically in the industry, many businesses replace computers in the 4 to 5 year range.  Now some replace much more often than others use them until they die, but that’s just kind of a general average. So I would say if your Mac is in the five year old or older range it might be time to consider a replacement.

But Mac users have something else to consider to. Apple just made a change to their processors on the Mac computers about a year and a half ago. Apple changed from Intel processors to Apple Silicon processors. Not typically a change like this would be very rocky for the user but Apple has taken all the rocks away, and paved with the best smoothest concrete you would ever find. The new Apple Silicon processors are absolutely amazing. They typically increase your performance by multiple times the speed of the current Intel machines. Now keep in mind your Intel machine might be 5 to 6 years old so the performance of the new processor is staggering.

Let me give you a simple example. Typically in the industry we use a piece of software called Mactracker to keep track of individual Macintosh models and what kind of hardware they were built with along with what the performance is. Let’s look at a machine from 2015. The chart below is the Mactracker information for a 2015 27 inch iMac.  If you take a look at the line listed as performance, the software tells us a single core in a multi course score for the processor. The numbers that make up the score are conglomerate performance of the different aspects of the computer.

But suffice to say the processor makes up a big portion of that. The single core score Is the speed at which one core of the processor can perform tasks. If it was a single core processor that would be the only number you got. But Macs for years have had multicore processor’s. For instance, this particular machine has a four or processor.  Newer machines, will have more cores. This particular machine has a multi course score of 2995.  If we compare the score of the other machines we get a relative performance difference between other hardware and this computer.

So let’s compare this, to Apple‘s new MacBook Pro 16 inch model. If we look at the same chart, in Mactracker, for Apple‘s new machine, you’ll notice that the multi core performance score is 12090 for the M1 pro model.  That’s four times the performance of your 2015 iMac. That kind of a performance difference in about 7 years it’s previously unheard of in the industry. Generally each year, performance of each new level of machine adds about 10% so you might expect about a 70% performance improvement from a seven-year-old machine. But with Apple‘s processor change, we’re looking at a 400% performance difference. That’s huge.

 

Not yes, we’re looking at a M1 pro processor not just the standard M1, but the standard in one processor has similar performance gains, so if you were looking for something lower in them Apple marketplace, you’re still gonna be looking at a performance increase of at least triple over this seven year old computer. If we’re to look up that chart for a M1 MacBook Air, which is basically Apple‘s entry-level machine these days, you’ll see a multi core performance score of 7387.  So comparing your old iMac, to a new entry-level machine still shows a 2.5 time performance increase. That’s still huge.

All that being said, a new Mac, it’s going to give you a tremendous performance increase over what you have. But performance is not the only reason we look for a new machine.

I’m out of disk space on my hard drive

Space. Space for all our stuff. It seems to just grow over time without even thinking about it. We need more and more space. But I would say, that in many cases what we really need is to just clean up the space we have. It’s kind of like your closet. If you continue to just add new things to your closet, and never get rid of anything, all of a sudden you’re out of closet space. You continue to stuff things in, but it just gets harder and harder to find a place for that new shirt that you just bought. Computers are the same way.

In later version of the operating system, under the Apple menu about this Mac, there’s a storage tab that  let us get an idea of what our storage is being used for.  You might take a look at that on your current machine. Typically, you’re going to find that storage is being used that you didn’t really realize. Pictures build up, old music preferences stay in your iTunes library, and old files that you may have used for work years ago, are still sitting on your hard drive. So regardless of whether you need more storage space or not, the first thing you need to do is clean up the space you have. I always recommend doing a good review and cleanup of your existing hard drive space, before migrating over to a new machine. There’s no reason to move all that stuff that you really don’t care about, and it keeps you from having to purchase more space on your new computer.

Using the same machine that we did in the performance section of this, these machines came with 1 TB or 3 TB drives. These were fusion drives which meant they were typical spinning drives, with a small solid-state Storage Drive To improve the performance. Since these drives we’re old standard spinning drives, they were fairly inexpensive. But these days, everything is solid-state storage. Solid state storage improve the performance of computer tremendously. It truly is the only way to go these days and Apple has acknowledged that I no longer selling machines with spinning drives.  But solid-state storage is more expensive.  So this is why cleaning up your space and determining just exactly how much space you need is the best idea to go with. You can always use an external drive to copy things off onto that you don’t necessarily need to have accessible every minute, or at least quickly accessible every minute. And that’s probably the best way to go. But the solid-state drive in the machine needs to be big enough to hold your applications, the operating system, and some of the basic files that you use on your machine. Typically I recommend a minimum of 512 GB. Many of Apple‘s machines come with that minimum but summer 256 GB so you do need to be aware of that if you’re getting ready to make a change.

I’m just ready for something new

Since the moderation of the pandemic, I’m hearing this is reason to get a new computer much more often. People of said at home, and worked on what they had for years now and they’re just ready to move forward. That’s a great reason to move up to a new Mac. But not everybody can do that. If you’re feeling like you’re just ready for something new Perhaps this is the best reason for making a new computer purchase.

But the other reason you may be looking for something new, might be do you want to move from a desktop computer to a laptop computer. This is a common thing I’m seeing these days. People want portability and want to be able to move around their home and use their computer anywhere they were at. So if you’re wanting to make a change because of changing the machine type you’re using, that’s a great reason to look at a new computer too.

Typically when a person calls me and tells me they want to know if it’s time to get a new machine, I look at these reasons I’ve described above and discuss that with them sometimes in detail. But there is one other reason. If your machine is getting older, the odds of it failing are getting greater. If it fails, replacing parts may be expensive if they’re even available any longer. So much of today’s computers is all included on the system board so one thing going wrong on the system board means a complete replacement. It’s always better to make a conscious decision to replace an older machine before it fails then to be forced into a decision if a failure occurs.

So let’s get back to the question, “Is the time to replace my Mac?”  The short answer is maybe. I would recommend if your machine is over five years old, it’s beginning to slow down and feel sluggish to you, or you’re looking for something different, this may be the perfect time. Machine performance is greater than it’s ever been, and the difference you’ll see from what you have to what you buy will truly be staggering. 

I’m always happy to help people talk through the decision making process of whether it’s time to replace, and what to replace their machine with. It’s much better to get some input upfront, then to make a decision that you’re going to be sorry about later.

I just want to print from my iPad

These days printing has gotten much easier from an iPad or iPhone. Most printers that you would purchase today will support Apple Airprint. In the past, you had to be a little careful that you picked up AirPrint printer. Over the past few years, manufacturers have made the decision to add that as a standard feature. And most printers also are Wi-Fi compatible. They either have built-in Wi-Fi so that you can connect to your local network or they have ethernet connectivity that get you connected to the router. Either way, air print works just great once the printer is on the network.

Once you have the printer connected, and you have your iPad connected to your local network, how do I go about printing.

In the past, we’ve either used Mac or Windows computers. Fortunately both of those computers had a menu bar at the top of the screen with the file menu. In that file menu was always a print command. It really didn’t matter whether you were in photoshop or Safari, there was a file menu with a print command in it.  This made it extremely easy to figure out any applications printing capability. Unfortunately, Apple in iOS has not made it quite that simple. Nearly every application will provide you printing capability but how to get to it can often be different and somewhat confusing.

Let’s start off with Safari, Safari uses a small square box with an arrow pointing up at the top of the screen to get you to what they called the share sheet.

From that share sheet you can often send a link or a page to someone else by email or text but if you scroll down in that share sheet, you’ll find the print command. Once the print command is open, you will often have to find your printer for the first time but once that printer reset on your local network, it will typically come up and allow you to print. From there, you make typical setting changes such as color printing or black-and-white, number of copies, or some other specific command that might be related to printing in that application.

So obviously, Apple who strives to be so consistent with its applications would have that little square with the up arrow in every application to lead us to the share sheet and printing. But not so fast… Unfortunately Apple uses a few other things to define where you need to go to be able to find that print command. Once you’re in the print command, the settings are all consistent as you would expect but getting to that print command is not necessarily simple if you’re not looking in the right place. 

Apples on Mail application doesn’t follow that square with the up arrow consistent share sheet concept.

To be able to print and mail, you need to go to the curved arrow in the lower right corner of the email you’re looking at. This is the same location you would go to reply, or forward that email. Once they are, you’ll find the print command which one selected brings up the consistent print dialog box. But I cannot for the life of me understand why Apple used a curved arrow rather than the standard square with the arrow going up to denote the location to do sharing, or commands based upon the email that you’re in.

And to make it worse, Apple‘s other application such as Pages and Numbers and Keynote, all force you to go to a circle with three dots in the upper menu bar to find the print command. One would think, Apple, who forces uniformity and consistency would have thought enough to be able to use the same method to get people to be able to print their documents. But that’s not the case.

So the important thing to remember is often times printing is available in any application you want to find on the iPad or iPhone. You just have to look around to find where it is in that application, and then remember that’s the place to go to find that print command.

The First thing you need to do with your New Laptop

Protect your Battery

I certainly should have made this post along time ago. One of the things I tell people when I set up a new laptop for them is that it’s very important for them to “season” the battery so that the battery understands the full capacity and can recharge to that capacity.

The typical estimated life of a Lithium-Ion battery is about three to 5 years or 300 to 500 charge cycles, whichever occurs first. One charge cycle is a period of use from fully charged, to fully discharged, and fully recharged again. But long before the Battery begins to fail, the capacity of the battery becomes reduced.

Rechargeable Lithium-Ion batteries have a limited life and will gradually lose their capacity to hold a charge. This loss of capacity (aging) is irreversible. As the battery loses capacity, the length of time it will power the product (run time) decreases.  There are some things you can do to a new laptop battery to ensure the battery works to its full capacity.  

Here are the simple steps to ensure you get the most out of that new laptop battery.

Connect your laptop’s power cord and allow it to fully charge.

Unplug the laptop once it is charged .

Use the computer until you receive a warning that the battery is nearly empty. Save any open documents to prevent data loss.

Continue to use the laptop until the battery is completely drained .

Reconnect the laptop’s power cord and allow it to recharge to full capacity. You may use the machine while it is recharging, but do not unplug it until it is finished.

Once you do that, you can now recharge and use the battery on your laptop as you normally would.  But, to avoid premature reduction in your battery capacity, be sure to use it on battery at least once in a while.

Maximum Battery life is achieved if you charge the laptop fully, then use it on battery until it tells you it needs to be charged.  While we cant use our devices in that way all the time, letting the laptop fully discharge, at least some of the time, is always the best way to avoid early battery problems.

Antivirus for Windows

One of the questions I get asked quite often deals with which Antivirus to use for Windows 10. The fact that the market for paid antivirus software in Windows is so vast should lead you to one very important conclusion.  Antivirus software makes a lot of money for the developers.

So often you see articles describing how one antivirus software is so much better than anything else on the market. In fact, most of these articles are all just spam. Antivirus software has gotten to the point where I don’t believe it makes any sense to pay for it any longer. Microsoft includes antivirus software built into windows 10 that is actually quite good. Other antivirus software such as McAfee, and Norton can slow your machine down so much, particularly if it’s older, that you may not be able to effectively use the computer.

More than once, I have run into a situation where a user will subscribe to LifeLock and get the free included Norton antivirus installed on their machine only to find, their machine no longer functions well, runs very slowly, and continually pauses due to the high resource requirements from the Norton antivirus software. On the other hand, McAfee runs better, but McAfee’s incessant use of trickery to get it self installed on your computer, basically popping up messages telling you that your machine needs to be updated, just doesn’t sit very well with me.

So my recommendation is, uninstall all of this superfluous software, and let windows take over the task of managing your antivirus checking. Your machine will feel faster, it will be updated when windows updates, and many of the compatibility issues that you see with other antivirus programs will go away.

So resist the old idea that you need to pay for antivirus software. If any antivirus software comes preinstalled on your new computer, uninstall it immediately and use the Microsoft software that’s built-in.

So what about Malware Protection

Malware testing is one of those things that is also included in Microsoft software. But in this case I find that there is a better solution. I fully recommend Malwarebytes. Malwarebytes is a free software program that will test your machine for malware that’s been installed. This software does about the best job of any thing I’ve ever seen. While there is a paid version of it, the paid version difference is that it just runs automatically in the background. As long as you have the wherewithal to run it every couple of weeks to test your machine, I don’t recommend the need to pay for it.

Touch ID for my MacBook Pro 2019 Doesn’t work after Update

Q:  Since I have updated to Big Sur I have not been able to use my Touch ID for my MacBook Pro purchased in 2019, I have tried to shut down and reboot again several times to no avail, the preference will not take the addition of my Touch ID. Any suggestions.

A: This is likely a corruption in the settings for the System Management Controller or SMC.  Performing a SMC reset will likely fix the problem.

For 2019 MacBook Pros with the T2 chip here is the procedure:

1. Choose Apple menu > Shut Down and wait for your Mac to shut down.
2. Press and hold the power button for 10 seconds.
3. Release the power button, then wait a few seconds.
4. Press the power button again to turn on your Mac.

If that doesn’t resolve the issue, follow these steps:

1. Choose Apple menu > Shut Down and wait for your Mac to shut down.
2. Press and hold the right Shift key, the left Option key, and the left Control key for 7 seconds. Your Mac might turn on and show the Apple logo on its display. Keep holding those keys while you also press and hold the power button for another 7 seconds. If your Mac turned on when you first pressed the keys, it turns off at this point.
3. Release all three keys and the power button, then wait a few seconds.
4. Press the power button again to turn on your Mac.

You may need to then remove the stored fingerprint and set it up again.   If you have a different Mac and need to reset the SMC, check out Apple’s Support Note on the subject.

What to do when your Mac is Frozen….

You know that frustrating, annoying, sometimes panicked feeling you get when your Mac isn’t doing what you expect? If an application freezes or your computer is generally misbehaving, here are a few things to try to get it working again.

Use Force Quit when an application is unresponsive. Choose Force Quit from the Apple menu.

Click the name of the deviant application (it probably has not responding next to its name). You typically won’t have to reboot.

Restart. If Force Quit doesn’t work or does not respond, try rebooting the computer. If a frozen Mac prevents you from clicking the Restart command on the Apple menu, hold down the power button for several until the screen goes black, then press the power button. If all else fails,  and the machine is a desktop, pull the plug, but remember that powering down without logging out should be used only as a last resort.

Scan Your Computer Using Malwarebytes

Malwarebytes Anti-Malware is a tool that allows you to scan your computer to find and remove malware like viruses and spyware.

To start your first scan, click [Scan] after it opens.

The scan may take several minutes.
Malwarebytes Anti-Malware will now start scanning. When the scan finishes, a screen will show any malware that was detected, if any was detected.

What Do I Do if MalwareBytes Finds Threats on my Computer?
If malware has been found on your computer, you may remove it by following the prompts within MalwareBytes once the scan is finished to view the report and to quarantine the threats. To manage them quarantined threats after a scan has already been completed, click [Detection History] on the main page. Once the scan has been complete and the threats have been quarantined, the system may require you to reboot the computer. When the computer restarts, do another scan to verify that there are no continuing threats.

Update Malwarebytes
To update Malwarebytes once it has already been installed, do the following:

Launch Malwarebytes.
On the launch page, click the gear icon in the top-right corner to view the settings. Click the [About] button on the far right corner. The currently installed version of MalwareBytes will appear on the left. Click the [Check for Updates] button to check for updates. If no update is found, you currently have the latest version installed. If you are prompted to install an update, install the update and do another scan on your computer.
After Malwarebytes has been updated, scan your computer.

Scan Your Computer
To scan your computer with Malwarebytes Anti-Malware after your initial scan, do the following:

Launch Malwarebytes.
Make sure Malwarebytes is up to date (see above).
Click the [Scan] button.
Let the scan progress. If threats are found, follow the prompts to quarantine the threats.

You now have successfully scanned your computer using MalwareBytes.

Apple Silicon MacBook Air is Amazing!

I am really liking my new MacBook Air. The performance of this machine is amazing. Initially I had a few problems with some applications that weren’t quite ready for Apple Silicon yet, but as of today, every application I use is either Apple Silicon ready or runs extremely well in Rosetta 2. It’s actually pretty amazing to think that Apple has turned this major change around so successfully. In just a little over a month, Apple released new machines, delivered them, and was successful in getting developers to make sure their applications all run just fine on them.

I’ve been around the Macintosh community for a long time. I remember the transition from PowerPC to Intel. It was quite painful. Many applications didn’t work initially, and some never were able to be made to work.  But this time, everything is changed. Apple has provided such high performance in the initial offerings that developers realize they must keep up. And they have.

When I initially installed my applications on the new MacBook Air, I had a couple of major ones that I was unable to get to work at all. First off, I use a program called ScreenFlow to do video capture of the computer screen. I realize I could do that in QuickTime, but screen flow just makes it much simpler, and provides the ability to be able to do so many additional things, it’s just one of those applications I have to have. But as of now, screen flow not only runs in Apple Silicon, it’s been made to be M1 compliant. That means they did the conversion to make it function at a high-level.

The other major application was google back up and sync. This is the app that runs in the background and copies your Google drive down to your computer so that you have direct access to the files. Initially it didn’t work but today, I ran the application and all of a sudden everything works fine now. I suspect this was a result of either a Google update, or an Apple update that took care of the problem. Either way, everything works great now.

This leaves just one problem that I’m having on the new Apple Silicon device. I have a printer, a Canon PIXMA pro 100.  This printer, has an application that runs inside photo shop that allows me to print color matching photographs. Unfortunately, this application is so poorly written that every version of macOS breaks it. It’s actually pretty distressing after spending money on a printer that Canon uses so few resources for their macOS software that they can’t seem to get it right. Time after time it takes months for this plugin software to get fixed. And unfortunately, that printer is no longer manufactured so I don’t exactly know what to expect with it. I’m not holding this out as a major issue, but I will continue to check to see if that driver gets updated.

Overall, so far I’m highly impressed with Apple’s new Apple Silicon devices. Keep in mind, these are just the first three models that have been released, as new models are released, I’m sure they’ll add additional features, and additional performance. But overall, this MacBook Air is a keeper.
